1. What is the "Appointment Time" feature?
The appointment time feature allows PROs and customers to easily schedule agreed-upon service times and add them to the PRO's calendar.
After adding an appointment time, the PRO and the customer will see a reminder of the scheduled time in their chat room. This feature serves as a reminder of the service time for both parties and allows the PRO to have a clear view of their work schedule in the calendar.
2. How to schedule an appointment?
(1) Set up your company's service hours
Since the available appointment time slots are based on the PRO's designated service hours, setting up your company's service hours before using the appointment time feature is important. (Refer to the Tutorial on setting service hours)
(2) Click "Add Appointment" in the chat room
After discussing and agreeing on the service time with the client, click the "⋯" (More options) button in the upper right corner of the chat room and select "Add Appointment." Choose the agreed-upon time for the appointment.
(3) Modify or delete appointments
Once the appointment is scheduled, you will see a reminder of the appointment time at the top of the chat room (as shown in the example below). Click "Edit" to modify the time or delete the appointment.
(4) View all appointment tasks
To view all your scheduled appointments, you can go to "Calendar → My Appointments" to see a list of appointments for the next two months. This allows you to check your work schedule easily.
3. Appointment time view for clients
The appointment time feature is designed to help PROs and customers understand the scheduled service times. It does not have an acceptance or rejection function. However, the PRO and the customer can add, modify, or delete appointments.
Once an appointment is added by either the PRO or the customer, both parties will see the same appointment time reminder in the chat room. Both parties can make edits or deletions, and there are notification messages to inform them of any changes to the appointment time in real-time, avoiding synchronization issues. The appointment time feature in the chat room is meant to assist PROs in managing their schedules. Discussing and confirming the specific time with the customer before adding an appointment and scheduling it in the calendar is recommended.
Note: Customers cannot see the PRO's calendar; they can only view the PRO's service hours from the PRO's profile and the scheduled appointments from the chat room.
4. What are the limitations of appointment time?
(1) Maximum of 3 simultaneous appointments for each task
A maximum of 3 time slots can be reserved for the same task (including appointments proposed by the PRO and the customer). Once an appointment time has passed, the appointment reminder at the top of the chat room will disappear, and that appointment will no longer count towards the 3-slot limit. In other words, a task can have up to 3 unexpired appointments simultaneously.
(2) Appointments can only be scheduled within the PRO's service hours
Appointments cannot be scheduled during the PRO's paused service periods or outside designated service hours.
(3) PRO can set a limit on the number of customers per time slot
In the PRO's company service hour settings, there is an option to set the maximum number of customers that can be served within the same time slot. When a limit is set, the number of appointments for a specific time slot will be subject to this restriction. (Refer to: What are service hours and calendars?)
Additionally, when the maximum number of appointments for a time slot has been reached, the promotion service will not match any service time requests to that time slot.
5. How is appointment time different from "Booking a Service"?
"Booking a Service" is one feature of the promotion service, allowing consumers to directly schedule service times with PROs of interest through the PRO's profile. On the other hand, the appointment time feature described in this article allows both connected parties to schedule and display service times through the system, making it more convenient for PROs to manage their schedules.
